How it works

Operational workflow from order to delivery

Ruta connects Client, Operator, and Courier workspaces in one process: order creation, dispatch, live execution, POD, and reporting.

Operational flow in production

This is the real sequence used in the service, from creation to completion.

Order is created (Client / Operator)

Pickup and delivery addresses, contacts, package data, notes, service options, and pricing inputs are submitted to backend.

Operator dispatches courier

In operator dashboard, order moves to ASSIGNED and courier receives route details in mobile app instantly.

Courier executes delivery

Courier updates statuses from mobile app. During delivery, order enters IN_TRANSIT and location/status updates stream in real time.

Proof of delivery is captured

At destination courier submits POD (photo/signature). Optional QR verification can be required before completion.

Order is closed and reported

Order is finalized as DELIVERED. Timeline, history, analytics, and export-ready data are available to operators and clients.

Invoice is generated and shared

After the order is closed, the system automatically creates a branded invoice with order details, distance, signatures, and amounts. Operators send it to clients in one click — or batch multiple deliveries into a single statement.

Operator mobile app capabilities

Real-time map visibility and courier supervision
Real-time map visibility and courier supervision

Operators can monitor every courier in real time, open courier details instantly, and review current status, work mode, activity, and active orders in progress. The map view provides route context and live operational awareness, helping dispatch teams react quickly to delays, workload imbalance, and priority changes.

Dispatch, order creation, and direct communication tools
Dispatch, order creation, and direct communication tools

The operator workspace supports fast assignment and reassignment, manual order creation, structured order management, and per-order instructions for couriers. Teams can add operational notes, coordinate execution clearly, and call couriers directly from the workflow to reduce response time and prevent handoff mistakes.

Execution quality control and end-to-end accountability
Execution quality control and end-to-end accountability

Detailed order timelines, pickup and delivery data, courier context, and step-by-step execution history give operators full control over service quality. This visibility supports confident completion decisions, incident handling, SLA monitoring, and a consistent operational standard for every delivery.

Courier assignment modes

Two operational modes help couriers prioritize tasks: fully self-managed queue or system-driven optimization for time and distance.

Assignment mode 1

Self-selection mode

Courier independently picks which order to execute first based on location, urgency, and current workload.

  • High flexibility in dynamic conditions
  • Better fit for urgent manual reprioritization
  • More control for experienced couriers
Assignment mode 2

Automatic assignment mode

System builds the recommended execution sequence automatically to reduce idle time, route overlap, and delivery delays.

  • Faster daily execution without manual sorting
  • Lower idle time and fewer unnecessary kilometers
  • Stable predictable flow across the team
