Photo + signature POD: reducing disputes before they start
Every delivery business knows the call: "It never arrived." Without proof, it is your courier's word against the recipient's — and you eat the cost either way. Proof of delivery turns that argument into a ten-second lookup.
What a dispute actually costs
A disputed delivery is never just the package. It is the dispatcher's hour spent reconstructing what happened, the refund or redelivery you offer to keep the client, and — worst — the client quietly wondering whether your operation can be trusted with the next hundred orders. B2B clients especially: one unresolvable "where is it?" can outweigh months of clean deliveries.
The three layers of proof
Modern POD is not one thing — it is a stack, and you choose how much of it each situation needs:
- QR scan — the courier scans the package's unique code at handoff. This proves the right package reached the right stop — it is impossible to confuse two parcels or mark the wrong order delivered.
- Photo — a picture of the package at the door or in the recipient's hands. This proves the condition and the place.
- Signature — the recipient signs on the courier's phone screen. This proves acceptance by a person. No paper involved.
In RutaLive, the operator decides which proofs are required — per operation, and separately for pickup and delivery points. The courier physically cannot close a delivery without capturing what you required. At least one method is always active: the system won't let you accidentally switch all proof off.
Geo-tagged, time-stamped, in one place
Proof only settles disputes if you can find it. Every photo and signature in RutaLive carries the coordinates and time of capture, and everything attaches to the order record — not to a courier's personal camera roll. When a client asks, you open the order, see the full gallery with address, time, and location, and send it over. Need it for a formal claim? Download all proofs for an order as one archive.
Pickup proof matters too
Disputes don't only happen at the destination. "You never picked it up" and "it was damaged before the courier took it" are just as expensive. Capturing proof at the sender's side — the same QR/photo/signature stack at pickup — closes the loop from first touch to handoff.
What changes for the recipient
POD isn't only defensive. When the client sees a real photo of their parcel at the door, minutes after delivery, without asking — that is what "professional operation" feels like from the outside. Confirmation stops being a phone call and becomes an automatic part of the service.
Turning it on
If your couriers already carry smartphones, POD costs you nothing extra — it is a setting, not equipment. In RutaLive: open confirmation settings, choose QR, photo, signature, or any combination, decide whether signatures are needed at every stop or only at final handoff, and dispatch. Changing the settings later never breaks orders already in progress.
